Before registration can begin, verify you have the following:
a) Download the Authorized State Official Form and Consent Forms (1 for each contestant). Forms REQUIRED to upload for Youth ONLY during the registration process.
b) Have you been to Western National Roundup previously? If yes, your team should have received an email from the system for 2026 registration. IF you did NOT receive an email please register using this online form. Once information is received the person(s) responsible for registration will receive a welcome email from FairEntry. This can take 3 business days or less.
Registration instructions
- If you received a welcome email congratulations! If NO, start at the beginning of this document!
- Locate the email received, be sure to check your junk folder just in case! Click “Sign-In.”
- Select you would like to continue as an Exhibitor.
- HINT: Account in a prior year? Be sure to clear your cache/cookies or use a different browser. Forgot your password? No problem! Select “I forgot my password” (DO NOT CREATE A NEW ACCOUNT!)
- Once temporary password is received, click on link in email copy/paste password. You will then be prompted to change (update) your password (be sure to write it down for future but not recommended to ‘save’ password). Once password has been successfully updated, click “Continue.”
- Success you are in! The screenshot below is the main entry section. Let’s begin by selecting the green “Begin work on a new invoice,” in the lower left corner.
- Select “Register an Exhibitor” and select on green “Individual” button to continue.
- Enter exhibitor required information. First name, Last name and Birthdate. Leave County blank, click “Continue.” Next, enter phone number and a helpful email to contact later, if needed.
- Enter general address associated with the county, state, or school association. Click Continue, there are no broad questions to answer.
- Review information entered, edit if needed. If no changes, click “Continue to Entries.”
- We will walk through an example for each type of registration for Western National Roundup, first we begin with 4-H or FFA Contest Signup, click select. Next, locate and click the green select button in the lower right and then “Choose.”
- Next, edit the club by selecting the blue “Change” button. Use 4-H or FFA tabs and locate your association, select radio button, and click OK. If it is not listed, please contact the event coordinator.
- The participant may or may not be in more than one contest. The fee is $200 for each participant, no matter the number of contests they select. Select all that apply using the check boxes, then click the green continue button.
- Review selection and click the green create entries button.
- There will be questions that need to be reviewed, click the blue “Review/Complete Outstanding Records” button.
- Let us review the questions individually. Question 1, enter in the contest fee of $200. This only needs to be entered one time if multiple contests are selected. Question 2, is this person competing as an individual or team? Question 3, verify this person competing has met all eligibility requirements. Click the green “Continue” button.
- The next question is uploading the required form for all youth participating in the contest. NOTE: Notice that the invoice total has updated to $200 in the upper right corner. Click the green “Continue” button in the lower right corner.
- IF the participant is in more than one contest, remember to enter zero in the contest fee box. Complete the remaining questions and click the blue ‘continue’ button in the lower right corner.
- The first entry is complete. What to do next? You are not done yet! Register another Exhibitor, for example next team member, coach, chaperone, or additional adult attending.
- Complete steps for each team member or continue to next set of instructions for entering coaches, chaperones, or coordinators. If applicable, next set of instructions would be to enter any additional adult or family information. DO NOT select Continue to Payment until ALL is complete.
